
When
migrating to E-Z Schedule Version 2, you will need a new unlock file to validate your
license. Right-click the
configuration icon to submit your registration data. Your
information will then be validated and a license file will be
automatically transmitted to you via your internet connection.
Keep your old copy of E-Z Schedule safe in case you
experience any problems and, most importantly, make a backup of your data.
After the install, the system may automatically
run a database repair procedure to add the new fields necessary to
implement the enhancements.

Here’s a partial list of what’s new:
New Client
Summary View: The first thing you should notice is the new client
summary view. The new view
provides you with quick access to your client database.
(To
find a client, simply start typing their last name and a “Find Client”
field will pop up allowing you to continue searching.
Hit “Enter” or “Esc” when you’ve located your client.)
Clicking the E-Z Schedule logo at the top left of the
screen will return you to the last schedule viewed.
Customized
Client Fields and Columns: The new client summary displays basic
information about your clients including their next scheduled
appointment.
(Right clicking on the columns
will provide you with context sensitive options like sending emails,
viewing notes or jumping to next appointments.)

Pop-Up
Comments for Appointments and Task:
This user-configurable option allows each user to display
appointment/task notes by passing the mouse over appointment cell
blocks. Use the
Show Comments=YES
configuration command to Display “!”
in front of appointment/tasks containing notes.
Client
Document Management: This new feature provides quick access to
client-related documents and images.
Images will be displayed in a pop-up viewer when selected. Other
documents will invoke the file associated Windows application. By
default, this folder will be located in your shared E-Z Schedule data
folder but can be re-defined using the
CLIENT DOCUMENT FOLDER=
command in your configuration.
Right-click your client’s record in the client summary screen to
open client documents on file. Additionally, you may store a master
image for a client record by enabling the "PHOTO"
column, then right-clicking a client record
and selecting "Load
an Image". When a master image is available, a small icon
will appear in the Photo column. Right-clicking the icon will pop
up an image viewer.
Updated
Appointment Search: We
have updated the appointment search facility to provide instantaneous
access to past and future appointments. Right-click the Print
button on the results dialog for various reporting options
Preferred
Contact Method in Client Update:
Click the contact phone that is preferred/primary contact number.
The preferred contact phone will be listed in the client summary.
(Right-click the
telephone column on the Client Summary view to display all contact phones on record for the
client.)
Zip Code
Update: A simple
facility to allow additions/updates to the zip code database.
System Administrators will find access to this procedure under
File/Data Maintenance.
Network
Access Icon:
Right-Clicking the Configuration Icon will now reveal an “Create
Desktop Shortcut to Shared E-Z Schedule Data” option which will allow you to
navigate to the shared network data folder and
automatically configure a desktop icon pointing the locally installed
application to the shared data on your server. Local installation of the
application restricts network flow to the actual data thereby easing the burden on your server
(You may also hit [Ctrl-Alt-Shift-F4] to access this facility from
any E-Z Schedule view.)
Person Hours
Implementation: You can now define Daily Start/End Hours for a
person. The configuration
statement is as follows:
etc., where
PERSONCODE is the previously established code for the scheduled resource
and nStartTime and
nEndTime are the day begin and end times defined for
the resource in military time.
These statements must be sequenced after the PERSON= definition.
EMAIL
Definition for Scheduled Resources:
The PERSON= statement has been
revised to accept an email address for the person.
The new syntax is as follows:
PERSON=John
Smith;ACCT0001;nDefaultLocation;cEMailAddress;cRestrictions
The email
address facilitates a new option on the schedule print menus – “Email
Daily Schedule to [Profession]”
New Back-Up
Interface: allows you to specify additional backup parameters as
well as send a copy of your backup file as an attachment to a specified
email address.
SMPT Access:
Perhaps the grandest sweep through the system, all MAPI references have
been removed and replace with SMTP interfaces allowing for emailing
messages and schedules without having to interface with Outlook,
Thunderbird, Eudora, or any other Windows MAPI applications.
To set up your SMTP interface, simply add the following
statements to your configuration:
SMTP Server=cISPOutgoingMailServer.com
(e.g.,
mail.e-zschedule.com)
SMTP From=YourDesiredSenderName <yourcompanyemail>
and, if required
SMTP Login=cYourEmailLoginID
SMTP Password=cYourEmailAccountPassword
SMTP

SMTP, along with the configuration command
EMail Backup =
emailaddress@mailservice.com
will allow you to send a copy of your E-Z Schedule
backup data as an attachment to any address you desire. You can
send the files to multiple email addresses by separating the target
addresses with semicolons (;). You may want to open a new Google
or Yahoo! Mail Account just for this purpose as these services provide
multiple Gigabytes of free off-site storage!
Enhanced
User Control: E-Z Schedule user access has been redesigned to
prevent erroneous “Too Many Users”
conditions. Additionally,
administrators have been provided methods to request (or force) user
shutdowns to allow system updates.
Hitting [Alt-U] from any screen will display all active users.
From this screen, administrators may Request User Shutdown, or,
by
right-clicking the request button,
force user shutdown.
